Job Description

Main Purpose

​The System Manager for Operations is responsible for overseeing and coordinating the daily activities of the online system applications and processes. This includes ensuring efficient and reliable system operations through observability, incident and problem management, prompt resolution of technical issues, and effective communication. The role is also accountable for identifying risks, managing resources, and protecting trade to deliver seamless customer experience and support organizational goals.

    • Proactively seek opportunities to streamline workflows, improve system performance, and embed best practices across the team.
    • Regularly review operational procedures and recommend process refinements to enhance efficiency, reduce risk, and support business objectives.
    • Recommend the adoption of emerging technologies to ensure the technology stack is scalable, resilient, and in line with organizational strategy.
    • Utilise advanced problem-solving skills and methodologies (e.g., root cause analysis, incident trend analysis) to resolve system issues promptly and effectively.
    • Foster collaborative troubleshooting, encourage knowledge sharing, and document solutions to build organizational learning and prevent problem recurrence.
    • Apply strong analytical skills to dissect complex problems and provide actionable input into solution architecture and implementation.
    • Develop a comprehensive understanding of system architecture integration points and dependencies; work with platform owners and infrastructure teams to maintain supporting components.
    • Anticipate and address integration risks, keeping reliability and scalability in focus.
    • Participate in forums and provide feedback on solution blueprints for sustainable technology outcomes.
    • Ensure systems comply with IT governance frameworks and information security policies and address non-conformities promptly.
    • Stay informed of regulatory and compliance requirements, integrating them into operational controls and process improvements.
    • Take ownership for addressing risks identified by internal and external audits, develop corrective actions, and monitor progress until closure.
    • Align with IT Business Continuity Planning (BCP) by maintaining and testing application BCP documentation for minimal business disruption.
    • Maintain and periodically review a three-year technology and business roadmap to anticipate business requirements, technology trends, and resource needs, enabling proactive system management and innovation.

Understand the IT and Business strategy and translate into a one-year systems operating plan

    • Proactively identify business impacts and direct the resolution
    • Plan and prioritise projects and workload to deliver to the operating plan
    • Provide resource and budget estimates as input into the ITS planning and budget process and in response to development request
    • Conduct regular reviews of business processes and technology alignment to anticipate areas where IT initiatives may affect business operations.
    • Engage with business stakeholders to surface emerging challenges and opportunities tied to technology deployments.
    • Establish clear channels for feedback and issue escalation to ensure rapid identification and response to business-impacting events.
    • Lead the coordination and implementation of corrective actions to resolve identified impacts, collaborating cross-functionally as needed.

Contribute to Business Case formulation

Contribute to the assessment and selection of applications, solutions, and services (e.g. RFP, RFI)

Key Competencies

  • Relevant 3-year tertiary or NQF aligned qualification
  • 5-8 years relevant experience across multiple areas of IT, preferably in systems management
  • Minimum 2 years people management
